1. Welcome and Minutes Approval

Pegita / Devika

  • Pegita received a thank you note from the grade 3s for EQAO treats.
  • Devika asked for passing of minutes- YES!

3. Treasurer Report

Anita

  • Ms. Langin ran an update on Bank account. After going over it this past weekend, we have more than the beginning of the school year – almost 38000.
  • Updated all lunch programs and 2 fundraisers- for all the monies coming in and the 38000 from last year we had 105K to start the school year.
  • After everything voted for and earmarked we have approx. 37K.
  • For next week's carnival - last year we broke even – we did not budget any money yet but will need 6500 (DJ, Fired Up).
  • We currently have 43, 630 in the account. After carnival fees, we will have 38K.
  • Maggie asked if the carnival would not go ahead.
  • Pegita explained that we generally break even (last year we made 4$ after all carnival fees were covered.
  • Last year we spent 6400$. Normally we earmark but it was somehow overlooked this year.
  • Devika said It may not cost us 6500$ this year, but we like to have a buffer.
  • The ice cream trucks we normally get a % of their earnings as well as we partnered with some high school students who had a photo booth and they gave us a %.

3. Admin Report

-School update

Heather/Georgia

  • Ms. Sawchuk shared that Ms. Myers will be receiving a Silver Fox award. Ms. Myers is very involved with school – spirit assemblies, sports, all grades, etc.
  • Heather said only one person in the whole school board gets this award. On June 11, there is a big awards ceremony that Ms. Myers will attend.
  • Heather said Georgia is not here but has reached out to officially start our playground fundraising. She will get a message out during carnival. The slide has been removed and there has been a reach out for other volunteers to assist with fundraising.
  • Devika said we were speaking of having a task force outside of school as the community also uses it as well.

  • Anita said not just parents, we should send via whatsapp group to the community.
  • Heather said phase 1 was for council, phase 2 was to reach out to the community.
  • Parin said she spoke with Georgia, and they will get started with getting the message out that we need help.
  • Heather spoke about soft entry. It looks different then what we have now. There are staff out back and instead of everyone lining up and coming in all at once. It will have a welcome bell at 845, and then kids start to enter as they arrive. The approach that Heather had at her last 2 schools and there was a dramatic increase in teaching time, self reg and kids being on time. It should also help contribute to less traffic.
  • We will start to highlight this in the next few weeks (June 10) and will work out glitches for Sept when it is officially implemented.
  • It may take some adjusting for the littler kids but she is excited that we are going to try this.
  • Kids do not have to go in the same doors as now. Sibling can enter together, all doors will be open including the front door.
  • Heather said we may see it in a few weeks and may decide that we need to change some things.
  • We aren't encouraging kids to stay outside but they can although it goes against the approach of soft entry.
  • Mamak asked how it would be communicated to the kids?
  • Heather said they are speaking to kids this week and we will still have teachers outside to remind.
  • Shelley said when the drop off is staggered, it should alleviate some of the traffic at drop loop. She asked what would happen in the case of late arrivals.
  • Heather said the front door will be accessible and the kids will have to use this. The caretakers have doors that they lock up after the final bell and front will have to be used and sign in at the office. She said it is the same thing but just more calmly. She requested that we spread the word ☺
  • Re: the families in need (house fire) she will be meeting with them on Wednesday.
  • Anuta suggested that we not use angel funds and instead log it as something else.
  • Devika asked what we had collected.
  • Heather said mostly things for the kids, some household items.
  • Shelly asked if we should just give a GC to Walmart so they can shop depts.
  • We talked about an appropriate amount. We spoke about 500$? 1000?

  • Shelley asked in the case that this happens again, is it something we can maintain?
  • Eileen asked what angel fund typically is?
  • It differs depending on what needs are – lunch, trips, etc.
  • Heather said she was thinking 200$. It says we care but not giving too much money.
  • Anita suggested GC vs money. And we will continue to fundraise items.
  • Pegita said we will put a motion in for one off – helping family in crisis. Everybody is In favor – Walmart 200$ GC.
  • Heather said there is a variety of sizes – youth boy and girl. FDK and Grade 2.

4. School Council Update

Devika/Pegita

  • Carnival will take place next Thursday – June 12.
  • She ran through what carnival is about – games, snowcones, popcorn, games, dj.
  • We are looking for parent volunteers. A form was sent out for signup.
  • Devika said we make a tiny profit from food and it goes back to the pot.
  • We have a DJ booth.
  • This year we will have gluten free pizza.
  • The games will change up this year. We have a giant connect

4. We use the parachute. As well as tug of war.

  • We also have a not for profit – lego group that comes in with their builds and they have a collaborative build.
  • RH Public Library will bring stem kits.
  • Pegita has said this year we have a request from staff to set up a table for Autism Awareness totes.
  • Also there will be a table set up for playground fundraising.
  • Bayview Hill SS will bring stem based learning. They will bring robots and the kids can check it out.
  • We also have a craft table. Last year Atty had a lovely table and she taught the high school volunteers who ran the tables.
  • Pegita asked to vote for the 6500$ for carnival - passed.
  • Next year we will be sure to earmark for carnival
  • Anita said all lunch programs are running until June 25.
  • 26th is half a day and no lunch is required.
  • Pegita invited open discussions for any items not discussed.
  • Devika asked about a grant that we applied for a while ago.
  • Hether said it was granted (800$), and spent.
  • She also said that there were not a lot of people who came for the Jennifer TC.
  • Devika said potentially it was because there was not a lot of

info advertising it.

  • Maggie said she saw her talk at high school and it was actually amazing.
  • Karen said she feels the communication between our school and community is lacking. She feels that a physical paper would be better. She has spoken to a lot of her son's friends and they don’t know a lot of what's happening. She said she does get an email but a lot of parents need it to be in their face.
  • Pegita had the suggestion of a stand alone email without a link. We're trying to get away from paper.
  • Shelley asked if we need to send a newsletter re: carnival.
  • Karen said even if signs are put up, kids , just run to grandparents, nannies, etc.
  • There are consistent tools (tech calendar, Edbsy, agendas)
  • Ms. Lisagurski said a lot of the juniors send a newsletter and they use Edbsy a lot.
  • Pegita said we cannot message directly to a group blast but can send an email.
  • Scarlett said IG is in stories and it disappears.
  • Pegita asked if we have a big event, are we able to send a paper flyer?
  • Karen suggested that we take a picture of the event info and send it out via Whatsapp group.
  • Karen suggested we regularly update the board.
  • Daphne spoke about this at a prior meeting and looked into it but it has to be done by caretaking.
  • Mona said point form is easier for parents. She also said there was no info regarding grad night.
  • Parin will forward the info to Mona and Mamak but it definitely went out a number of times.
  • Atty asked what the resolution is for communication.
  • Pegita said we already have 2 different Whatsapp groups. She said at carnival they can scan and automatically be added.
  • Atty suggested we send a QR code in September via paper and parent can be added as scanned.
  • Scarlett said at the beginning of the year maybe we can speak with teachers to pass #s to start a Whatsapp group.
  • Pegita said this would not be a teacher thing. It falls on the parents to network. It's class specific..
  • Atty said she has never had an issue with communication in the years that she has been at BHES.
  • Karen said we need to step back as a lot of people aren't tech savvy.
  • Eileen said she receives communication on items.

  • Heather said until it's brought up, we think that everything is ok. She requested that it be brought back up in the fall, and to continue spreading the word.
